Executive Assistant

Provide high-level administrative support to our leadership team by maintaining calendars, making business travel arrangements, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.

Executive Assistant Duties and Responsibilities

  • Will provide direct support to the CEO approximately 20 - 25 hours per week, may support other leads within the organization in addition an additional 5 - 10 hours per week.

  • Comfortable performing clerical duties, taking memos, maintaining and organizing electronic files and documents in G-Suite.

  • Arranges travel, accommodation, itineraries, and all correspondence related to arrangements as needed.

  • Plans/organizes and implements events such as meetings, business luncheons, or dinners.

  • Manages and acts as liaison regarding CEO schedule

  • Prepares reports, presentations, and data for team meetings

  • Handles confidential information.

  • Prepares information and research for CEO’s needs.

  • May help plan company events, meetings, and employee team building activities or special projects.

Executive Assistant Skills

  • Experienced and comfortable working in a “start-up” environment and is able to juggle multiple responsibilities simultaneously, pivoting when necessary.

  • Able to organize and manage large amounts of files, tasks, schedules, and information

  • “Self-motivated” and able to operate autonomously within the work environment.

  • Has a “Customer Service” oriented attitude: friendly, energetic, and outgoing.

  • Answers phone inquiries, directs calls for our CEO.

  • Able to perform all clerical duties, taking memos, maintaining files and confidential information, organizing documents as needed.

  • An organizational guru, adept at aiding others streamline their to-do lists

Executive Assistant Requirements and Qualifications

  • Three years’ prior experience in mid-level administration, business, management, or related field.

  • Proficient computer skills, including G-Suite (Docs, Presentations, and Sheets); scheduling appointments/updating calendars a must.

  • Excellent written and verbal communication skills.

  • Able to concentrate on multiple problems/tasks at once.

  • Excellent time management and prioritization skills.

  • Valid driver’s license and safe driving record preferred.
